Add staff, control what they can do, and pay salaries.

## Adding an employee

Press **Add Employee**. A full-screen window takes you through six short stages, so you never face one long form. A little person walks toward the shop as you make progress.

1. **1 · Who they are.** Full name and, optionally, a phone number. The name appears on sales, receipts and the activity log.
2. **2 · Sign-in.** A working email nobody else uses (it is their username) and a password of at least six characters, typed twice.
3. **3 · Role.** Manager, Cashier, Inventory or Sales. Each role starts with sensible access.
4. **4 · Permissions.** Role defaults are already applied. Change them only if the person needs more or less, such as Customer Showcase to edit your online shop. A page that is off is hidden from their menu.
5. **5 · Work details (optional).** Job title, start date, type, and the salary with how often it is paid. You can skip this and set it later.
6. **6 · Review & create.** Read it once more, then press Create. The employee can sign in right away.

> **Tip:** Press the help button inside the window for a guided tour that points at each field and explains what to write and why. It is available in English and አማርኛ.

## Paying salaries

The **Payroll** tab shows what is due this month. Press **Pay salary** on an employee and confirm. It is recorded as a Salaries expense and the card turns to *Paid this month*. Salaries are monthly.

| Card | Meaning |
| --- | --- |
| Team members | How many are active. |
| Monthly payroll | Total salaries per month. |
| Paid this month | Already paid out. |
| Still to pay | What is left to pay. |

## Removing someone

Delete an employee from their card. Former employees stay in your records — tick *Show former employees* to see them.

> **Warning:** Permissions limit what pages and buttons staff see. Give staff only what they need — a cashier rarely needs Analytics.

## Commission on sales

You can pay an employee a **percentage of what they sell**, on top of salary. Open the employee's work details and set the commission **percent** and whether it is taken from **revenue** or from **profit**.

1. **Press Pay salary.** On the employee's card or in the Payroll tab.
2. **Turn on “Pay per sale (commission)”.** Choose the dates (this month by default). Sukbay finds the orders that employee sold in that period and works out the commission itself.
3. **Add bonus or deductions if needed.** The screen shows Base salary, Bonus, Commission, Deductions and the **Net pay**.
4. **Confirm payment.** Choose cash, bank transfer or mobile payment and confirm. It is saved as a Salaries expense.

> **Note:** Each sale is paid commission **once**. After you pay commission for a period, those orders are used up and cannot be paid again.

## The Payroll tab

- Pick the **month**. The cards show Monthly payroll, Paid this month and Still to pay.
- Each employee row shows salary, what is paid, what is due and a status (Paid or Due) with a **Pay salary** button.
- **Export CSV** downloads the month for your accountant.
- A paid salary can be voided with a reason if it was entered by mistake.

## An employee's profile

Open an employee to see an overview (start date, type, email, phone, department, last sign-in), their **Pay** history and their **Activity**. From there you can edit details, **put on leave**, or **mark as left** with a reason.

## Roles and permissions

| Role | Typical use |
| --- | --- |
| Manager | Runs the shop day to day; can see most pages. |
| Cashier | Sells and manages customers; no reports. |
| Inventory | Handles products, batches and warehouses. |
| Sales | Sells and follows orders. |

Choose **Edit access** on an employee to switch between *Use role defaults* and *Custom permissions*, where you decide each page and action. A page that is off is hidden from their menu. You can also assign an employee to **one warehouse**, so they work with that warehouse only.
