# Chat & verification

Talk to your team, and let the people at each warehouse confirm every delivery, transfer and daily report.

Chat is more than messages. Besides normal text, it carries three kinds of **cards** that keep the owner and the warehouse staff honest with each other: **batch verification**, **transfer verification** and **warehouse reports**.

## Team chat

Message any employee or the owner inside Sukbay. Recent chats and contacts sit on the left, and the sidebar shows a badge with unread messages. Employees see the people they work with; staff assigned to a warehouse see that warehouse's requests.

## Batch verification

When the owner adds a **batch** to a warehouse that has staff, Sukbay sends each of them a card: *“New batch added — please verify the physical count!”* It shows the product, the quantity added and the stock before and after.

1. **The owner adds the batch.** In Products › Batches, with a quantity and a warehouse.
2. **The warehouse staff get a card and a notification.** They go to the warehouse and count what really arrived.
3. **They answer.** **Count is right** confirms it. **Report a problem** asks for what they actually counted and a short note, such as “2 boxes were damaged”.
4. **Everyone sees the result.** The card turns **Verified OK** or **Discrepancy**, the batch records who answered and when, and the owner gets a notification straight away.

> **Warning:** A discrepancy report does not change your stock by itself. It tells the owner that the paper count and the shelf count differ, so the owner can check the delivery and correct the batch.

## Transfer verification

Moving stock between warehouses works the same way. The receiving warehouse gets a card with the product, the quantity moved, and the stock at both ends before and after. They confirm the count or report what actually arrived.

## Warehouse reports

Reports are now made on the **Orders** page with **Close day** (see Orders & selling): one Sales report and one Stock report. When one is closed, a card arrives in chat marked **Checked**, and **Needs signature** until it is signed.

- Sign right after closing, or later from *Closed reports*. The card then shows the name and time.
- Managers and the owner can open every saved report. Other staff see the last three days of their own warehouse.

## Who sees what

| Person | Sees in chat |
| --- | --- |
| Owner | Every conversation, all verification answers, all warehouse reports. |
| Staff with a warehouse | Their own warehouse's batch and transfer requests, and its reports. |
| Staff without a warehouse | Requests for stock that is not assigned to any warehouse, plus normal messages. |

## Notifications

The bell shows new online orders, low stock, expiring batches, verification answers, payments and the daily summary. On the mobile app you also get push notifications when the app is closed. Choose the alerts you want in Settings › Notifications & Alerts.

> **Tip:** Ask staff to answer verification cards the same day the stock arrives. Fresh counts are the easiest to trust and to correct.
